1. Who we are

Hailoos is an AI governance and knowledge management company based in Amsterdam, Netherlands. We provide AI oversight (Shield) and knowledge management (Memory) services to mid-market businesses. References to "Hailoos", "we", "us", or "our" in this policy refer to Hailoos.

2. What data we collect

We collect information you provide directly to us — such as your name, email address, company, and message when you use our contact form or book a call. We may also collect usage data about how you interact with our website, including pages visited and time spent.

3. How we use your data

We use your data to respond to enquiries, deliver our services, improve our website and service offering, and comply with our legal obligations. We do not sell your data to third parties.

4. Legal basis for processing

Where we process your personal data, we do so on the basis of your consent (e.g. contact form submissions), our legitimate interests in operating and improving our business, and compliance with legal obligations under EU law.

5. Data retention

We retain contact form submissions and enquiry data for up to 24 months. Client engagement data is retained for the duration of the engagement plus seven years for legal compliance purposes. You may request deletion at any time (see section 8).

6. Data sharing

We do not share your personal data with third parties except where required by law, or with trusted service providers (such as email and calendar tools) who process data on our behalf under appropriate data processing agreements.

7. Cookies

Our website uses minimal cookies to remember your cookie preferences (localStorage). We do not use advertising cookies or third-party tracking. You can decline cookies via the banner on your first visit.

8. Your rights

9. Data security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. Our client-facing systems are hosted in ISO 27001-certified environments.

We may update this policy from time to time. We will notify you of significant changes by email if you are an existing client, or by updating the date at the top of this page. Continued use of our website after changes constitutes acceptance.
